File preflight

Use this checklist for a new quote or a revised layout with variable data. If artwork is incomplete, send the best source available and identify the open decisions.
Reference sources
A drawing, clear photo, existing sample or plain-language brief can start the review. State which dimensions and details must be matched.
Variable data
Send CSV or XLSX files with column headings in the first row and one finished tag per data row.
Finished Product specification
State the material, finished width and height, shape, thickness, quantity and mounting method. For mounting holes, include the hole size, centre spacing and edge distance.
Logo quality
Send the original vector logo when available. If only a raster image exists, use the highest-resolution file and identify any colour or clear-space requirement.
Text hierarchy
Provide the exact wording, capitalization and line order. Mark the primary line, secondary text and any text that must remain human-readable below a code.
Barcode payload
Name the barcode format if it is fixed by your system. Keep the encoded value in its own column and provide the separately printed text in another column.
QR payload
Provide the exact URL or text to encode. Use the complete destination, including https:// where applicable, and confirm whether each tag has a unique value.
Serial sequence
State the start, end and increment. Include any prefix, suffix, fixed digit count and leading zeros, for example IM-0001 to IM-0500 in steps of 1.
CSV or XLSX preflight
Use one row per tag, keep column names clear and remove merged cells. Match the number of data rows to the quoted quantity, then check blank and duplicate encoded values.
Proof review
Compare the proof with the source file before approval. Check size, orientation, spelling, logo placement, code data, serial order and mounting details.
CSV / XLSX example
Keep encoded data separate from printed text.
The example uses placeholder values only. Keep the same one-row-per-tag structure in CSV or XLSX, but use column names that match your own tracking system.
- Keep leading zeros by formatting serial and code columns as text.
- Leave unused code columns blank rather than combining several values in one cell.
- Use example or test destinations during preparation. Replace them with final approved values before proof approval.

The digital proof is free.Nothing is produced until you approve the layout, spelling, size and variable data. Compare the proof and any variable-data sample with your source file. If the data changes, send the revised file and request an updated proof before approval.
